This guide explains the full workflow: preparing WhatsApp Web, choosing a chat, selecting a format, running the backup, understanding the ZIP file, and avoiding the common causes of incomplete exports.

1. Before you start

ChatVault works with WhatsApp Web in Chrome or another Chromium-based browser. Make sure WhatsApp Web is open, logged in, and the conversation you want to export can be loaded normally.

  • Install ChatVault from the Chrome Web Store.
  • Open WhatsApp Web and keep the tab active while exporting.
  • If you bought Premium, activate the license in Settings before choosing a custom date range.
  • For long chats, give WhatsApp Web time to load older messages before starting a large archive.

2. Run your first export

The extension popup walks you through the backup. The safest flow is to choose the chat first, then range, then format, and keep the popup open until the ZIP is saved.

    Go to WhatsApp Web and select the conversation you want to archive. If needed, scroll to load older messages.

    Click the ChatVault icon in the browser toolbar. If the chat list looks stale, use the refresh option in the popup.

    Choose the contact or group from the dropdown. ChatVault uses that selected conversation as the export target.

    Free mode exports the newest messages. Premium enables exact start and end dates. Choose TXT, CSV, Excel, HTML, or JSON.

    Click the backup button and keep the popup open while messages and media are collected. The status changes while the ZIP is being prepared.

    Open the downloaded archive and check the main chat file, the media folder if included, and any report file.

3. Choose the right format

All formats export the same conversation data, but each one is optimized for a different job.

4. Understand the ZIP file

The downloaded archive is named like ChatVault for WhatsApp - Contact Name.zip. Inside, ChatVault creates a main export file named like chat_contact_name.html, chat_contact_name.csv, or the format you selected.

Main chat file

The selected format contains messages, timestamps, senders, and references to media paths when media is available.

media/ folder

Images, documents, audio, and video are stored under media/ when WhatsApp Web provides downloadable data.

report.txt

If some media cannot be fetched, ChatVault can still finish the export and include a report describing failed items.

Local archive

The ZIP is downloaded to your device. Store, share, or delete it according to your own privacy needs.

6. Troubleshooting and best practices

WhatsApp Web changes often, and media availability depends on what the browser can access at export time. These checks solve most backup issues.

  • Refresh WhatsApp Web if the chat list is empty or the selected chat is not detected.
  • Keep the ChatVault popup open until the ZIP is downloaded.
  • Avoid switching accounts or closing WhatsApp Web during export.
  • If media is missing, check report.txt and retry after opening that media inside WhatsApp Web.
  • If something still does not work, it may be caused by a recent WhatsApp Web change - contact us with a short description and we will try to fix it.
  • For important archives, open the ZIP immediately and verify the message count, date range, and media folder.
